Terms and Conditions

These Terms and Conditions ("Terms") govern your access to and use of the CraftStage platform at craftstage.com (the "Service"), operated by CraftStage Technologies LLC ("CraftStage", "we", "us", or "our"). By creating an account or using the Service, you agree to be bound by these Terms.

If you do not agree to these Terms, do not use the Service.

1. Description of the Service

CraftStage is a software-as-a-service (SaaS) platform designed for trophy shops, engraving businesses, and award manufacturers. The Service provides:

  • CSV import and AI-powered text parsing — upload lists of names and inscriptions, automatically parsed and classified by AI.
  • Template and text area management — define engraving regions on your product templates with precise coordinates.
  • Proof generation — automatically render personalized previews for each item in a job.
  • Customer approval workflow — send approval links to your customers so they can review and approve proofs before production.
  • Laser-ready export — generate production-ready files optimized for laser engraving and cutting machines.

2. Eligibility

You must be at least 18 years old to use the Service. By creating an account, you represent and warrant that you are at least 18 years of age and have the legal capacity to enter into these Terms.

3. Accounts

3.1 Account Creation

To use the Service, you must create an account by providing accurate and complete information. You may sign up using an email and password, a magic link, or a supported social login provider.

3.2 Account Security

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately at hello@craftstage.com if you suspect unauthorized access to your account. We are not liable for any loss arising from unauthorized use of your account.

3.3 Organizations

The Service uses an organization-based structure. Your account will belong to an organization, and you may invite team members to join your organization. Organization owners and administrators are responsible for managing team access and permissions.

4. Subscriptions and Billing

4.1 Free Trial

New subscriptions include a 14-day free trial. During the trial period, you have access to the features of your selected plan at no charge. If you do not cancel before the trial ends, you will be automatically charged for your first billing period.

4.2 Subscription Plans

The Service is offered through recurring subscription plans (monthly or annual). Current plan details and pricing are available on our pricing page. All prices are listed in US dollars.

4.3 Payment Processing

Payments are processed securely by Stripe. By subscribing to a paid plan, you authorize us to charge your payment method on a recurring basis according to your selected billing cycle. You agree to provide accurate and current payment information.

4.4 Price Changes

We reserve the right to change subscription prices. If we change pricing, we will provide at least 30 days' notice before the new price takes effect. The updated price will apply at your next billing cycle after the notice period. If you do not agree to the price change, you may cancel your subscription before the new price takes effect.

4.5 Refunds

Subscription fees are generally non-refundable. However, if you believe you have been charged in error or have experienced a significant service disruption, please contact us at hello@craftstage.com within 14 days of the charge, and we will review your request on a case-by-case basis.

4.6 Cancellation

You may cancel your subscription at any time from your account settings. Upon cancellation, your subscription remains active until the end of your current billing period. After that, your account will be downgraded and you will lose access to paid features.

5. Acceptable Use

You agree to use the Service only for lawful purposes and in compliance with these Terms. You agree not to:

  • Upload, transmit, or store any content that is illegal, defamatory, obscene, or infringes on the rights of others.
  • Use the Service to harass, abuse, or harm any person.
  • Attempt to gain unauthorized access to the Service, other user accounts, or our systems and infrastructure.
  • Circumvent or attempt to circumvent rate limits, usage quotas, or other technical restrictions of the Service.
  • Use automated scripts, bots, or scrapers to access or interact with the Service, except through our documented APIs.
  • Reverse-engineer, decompile, or disassemble the Service or any part thereof.
  • Resell, sublicense, or redistribute access to the Service without our written consent.
  • Abuse the AI text parsing feature by submitting content unrelated to the Service's intended purpose (engraving and award production).

We reserve the right to suspend or terminate your account if you violate these terms.

6. Intellectual Property

6.1 Your Content

You retain all ownership rights to the content you upload to the Service, including CSV data, images, templates, and designs ("Your Content"). By uploading content, you grant us a limited, non-exclusive license to process, store, and display Your Content solely for the purpose of providing the Service to you. This license ends when you delete Your Content or your account.

6.2 Our Platform

The Service, including its software, design, trademarks, logos, documentation, and all related intellectual property, is owned by CraftStage and is protected by applicable intellectual property laws. These Terms do not grant you any right, title, or interest in the Service beyond the limited right to use it in accordance with these Terms.

6.3 Feedback

If you provide us with suggestions, ideas, or feedback about the Service, you grant us a perpetual, irrevocable, royalty-free license to use and incorporate that feedback without any obligation to you.

7. AI-Powered Features

7.1 AI Text Parsing

The Service uses artificial intelligence (provided by Anthropic) to parse and classify text data you upload. AI results are provided as suggestions and may not always be accurate. You are responsible for reviewing AI output before using it in production.

7.2 No Guarantee of Accuracy

We do not guarantee that AI-generated results will be error-free. CraftStage is not liable for any losses, damages, or production errors arising from reliance on AI-generated output without human review.

8. Proof Approval Links

When you generate proof approval links for your customers, those links allow third parties to view proof images and submit approval or rejection responses. You are responsible for:

  • Ensuring you have the right to share proof content with the intended recipients.
  • Communicating any necessary context or instructions to your customers.
  • Verifying approval responses before proceeding with production.

Approval links are rate-limited for security purposes. We are not responsible for disputes between you and your customers regarding proof approvals.

9. Availability and Support

9.1 Service Availability

We strive to maintain high availability of the Service but do not guarantee uninterrupted or error-free operation. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.

9.2 Support

Support is available via email at hello@craftstage.com. Response times may vary based on your subscription plan and the nature of your request.

10. Limitation of Liability

To the maximum extent permitted by applicable law:

  • The Service is provided "as is" and "as available", without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, and non-infringement.
  • We are not liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, revenue, data, or business opportunities, arising from your use of the Service.
  • We are not liable for printing, engraving, or production errors that result from your use of the Service, including but not limited to text overflow, font rendering differences, misalignment, or errors in exported files. You are responsible for verifying all output before committing to production.
  • Our total aggregate liability to you for any claims arising from or related to the Service shall not exceed the total amount you paid us in the 12 months preceding the claim.

11. Indemnification

You agree to indemnify, defend, and hold harmless CraftStage and its owner, employees, and agents from any claims, losses, damages, liabilities, and expenses (including reasonable attorneys' fees) arising from:

  • Your use of the Service.
  • Your violation of these Terms.
  • Your violation of any third-party rights.
  • Content you upload to or generate through the Service.

12. Termination

12.1 By You

You may cancel your subscription and delete your account at any time from your account settings or by contacting us at hello@craftstage.com.

12.2 By Us

We may suspend or terminate your account at any time if you violate these Terms, if required by law, or if we discontinue the Service. Where possible, we will provide reasonable notice before termination.

12.3 Effect of Termination

Upon termination, your right to use the Service ceases immediately. We will retain your data for 30 days after termination to allow you to export your content. After 30 days, your data will be permanently deleted unless retention is required by law.

13. Modifications to the Service

We reserve the right to modify, update, or discontinue any part of the Service at any time. If we make material changes that negatively affect your use of the Service, we will provide reasonable notice.

14. Changes to These Terms

We may revise these Terms from time to time. If we make material changes, we will notify you by email or by posting a notice on the Service at least 30 days before the changes take effect. Your continued use of the Service after the revised Terms take effect constitutes your acceptance of the changes. If you do not agree to the revised Terms, you must stop using the Service.

15. Governing Law and Disputes

These Terms are governed by and construed in accordance with the laws of the United States and the State of Florida, without regard to conflict of law principles. Any disputes arising from these Terms or your use of the Service shall be resolved in the state or federal courts located in Florida, and you consent to the personal jurisdiction of such courts.

16. General Provisions

  • Entire Agreement — these Terms, together with our Privacy Policy, constitute the entire agreement between you and CraftStage regarding the Service.
  • Severability — if any provision of these Terms is found to be unenforceable, the remaining provisions will remain in full force and effect.
  • Waiver — our failure to enforce any provision of these Terms does not constitute a waiver of that provision.
  • Assignment — you may not assign your rights under these Terms without our written consent. We may assign our rights and obligations without restriction.
